Office Administrator (Wantage, Oxford)

BHPH are a well-established award winning chartered Architectural Practice. We are seeking an enthusiastic Office Administrator to join our team in our Wantage Studio.


Hours of work: 9.00 to 5.30, Monday to Friday.   Part-time may be considered.

Salary : negotiable dependent on experience.

Holiday : 20 days per annum plus bank holidays

The ability to work well as part of a team and independently is essential, together with a personable and confident manner when dealing with Clients both in person and on the telephone. You will be managing a variety of tasks often with deadlines, therefore the ability to prioritise your workload effectively is vital. Excellent communication skills, both written and verbal, are necessary as well as a high level of accuracy and the initiative to work with little supervision. Candidates will already have a high level of IT competence and be fully conversant with Microsoft Office Suite.        


Tasks include:

  • Ensuring the smooth running of the office and the day to day appearance of the whole office including meeting rooms, kitchens etc.

  • Answer main telephone/door as required.

  • Act as first point of call for general admin queries.

  • Reception duties including arrangement of and preparation for meetings,

  • Helping to organise CPD and training both in house and on location.

  • Providing refreshments for meetings and organising lunches, as required.

  • Control of time and project management software, including setting up new jobs and generating reports for the Partners (training will be given).

  • General filing, including archive filing.

  • Management of office and Partner diaries.

  • Submitting Planning Applications on the Planning Portal and track Planning applications through the planning process (training will be given).

  • Monitoring stationery and paper supplies, ordering as required.

  • Office equipment: arranging servicing and ordering supplies.

  • Maintain appropriate office policies and procedures as agreed with line management.

  • Arranging email address and enrollment of new starters.

  • Organise temporary staff and Work Experience students as required.

  • Ensure Visitor Book is filled out by all visitors.

  • Act as First Aider for office (training can be given)

  • Waste paper management via Shred-it and internal shredding.

  • Other general office management duties that may arise.
